Contacts and pipeline

Use the job pipeline

Track every job from a first inquiry to a won or lost job, using the five pipeline stages already set up on your account.

How long it takes

About 5 minutes

What you'll need

  • At least one contact to practice with

What the pipeline is for

Your pipeline turns a list of contacts into a view of where every job actually stands. Each job is an "opportunity" that holds a contact, a stage, and an estimated value, moving through six stages from first contact to a finished job:

  • New inquiry, a lead just came in and hasn't been contacted yet.
  • Contacted, you've reached out, waiting to hear back or schedule.
  • Estimate sent, you've given a price and are waiting on a decision.
  • Booked, the customer said yes and a job is scheduled.
  • Won, the job is complete and paid.
  • Lost, the job didn't happen, for whatever reason.

Create an opportunity for a new job

  1. Open Opportunities from the left-hand menu.
  2. Click Add Opportunity.
  3. Choose the contact this job is for (or create a new contact if you haven't added them yet), and set the starting stage, usually New inquiry.
  4. Add an estimated value if you know it, and assign an owner if more than one person works jobs on your team.
  5. Save. The opportunity now shows up as a card in the pipeline board, in the stage you chose.

Move a job between stages

As a job progresses, open the opportunity and update its stage, or drag its card from one stage column to the next on the pipeline board. Update the estimated value too, if it changes once you've quoted the job.

A quick habit that pays off: update the stage the moment something changes, right after you send an estimate or confirm a booking, rather than batching updates at the end of the day. The pipeline is only useful if it reflects what's actually true right now.

If it doesn't work

Don't see the stage you expected? Confirm you're looking at the right pipeline if you ever create more than one; most accounts only need a single job pipeline.

Opportunity stuck in the wrong stage? Open it directly and change the stage from the opportunity detail view, rather than dragging the card, if the drag doesn't seem to register.
