Contacts and pipeline

Use your sales pipeline

Track every lead from first contact to a won or lost sale, using the six pipeline stages already set up on your account.

How long it takes

About 5 minutes

What you'll need

  • At least one contact to practice with

What the pipeline is for

Your pipeline turns a list of contacts into a view of where every lead and sale actually stands. Each one is an "opportunity" that holds a contact, a stage, and an estimated value, moving through six stages from first contact to a won or lost sale:

  • New lead, someone just reached out and hasn't been contacted yet.
  • Contacted, you've replied and are waiting to hear back.
  • Quote sent, you've given a price and are waiting on a decision.
  • Booked, the customer said yes and the appointment or order is set.
  • Won, the work is done or the order delivered, and it's paid.
  • Lost, the sale didn't happen, for whatever reason.

Create an opportunity for a new lead

  1. Open Opportunities from the left-hand menu.
  2. Click Add Opportunity.
  3. Choose the contact this opportunity is for (or create a new contact if you haven't added them yet), and set the starting stage, usually New lead.
  4. Add an estimated value if you know it, and assign an owner if more than one person on your team follows up with customers.
  5. Save. The opportunity now shows up as a card in the pipeline board, in the stage you chose.

Move an opportunity between stages

As a sale progresses, open the opportunity and update its stage, or drag its card from one stage column to the next on the pipeline board. Update the estimated value too, if it changes once you've sent a quote.

A quick habit that pays off: update the stage the moment something changes, right after you send a quote or confirm a booking, rather than batching updates at the end of the day. The pipeline is only useful if it reflects what's actually true right now.

If it doesn't work

Don't see the stage you expected? Confirm you're looking at the right pipeline if you ever create more than one; most accounts only need a single sales pipeline.

Opportunity stuck in the wrong stage? Open it directly and change the stage from the opportunity detail view, rather than dragging the card, if the drag doesn't seem to register.
