One inbox for texts, email, Facebook and Instagram: how it works
Customers reach a small business by text, email, Facebook and Instagram, and each channel has its own app. Here is how a single inbox pulls them together, what each channel needs to connect, and what it costs.

A customer asks a salon about Saturday openings on Instagram. Another texts the owner's cell about an order. A third emails a question about a quote, and a fourth sends a Facebook message at 10pm. Each one sits in a different app, and the one nobody checked is the one that goes quiet. A single inbox puts all four in one list, attached to the right customer, so anyone on the team can see what came in and answer it.
This guide explains how that works in practice, what each channel needs before it can show up, what it costs, and where the limits are. We make one product that does this, Ringvance Inbox, so the setup details below are ours; the comparison with other CRMs links to their own pricing pages.
What "one inbox" actually means
- One list of conversations. New messages from every connected channel appear in the same place instead of in four apps.
- Each conversation belongs to a contact. When the same person emails one week and texts the next, both sit on one customer record with your notes.
- You reply from the same screen. The customer gets the answer on the channel they wrote in, and nobody has to switch apps to find the thread.
- It works from your phone. In Ringvance, the free LeadConnector mobile app (iOS and Android) opens the same inbox with your Ringvance login.
What each channel needs to connect
Email, Facebook and Instagram are sign-in-and-authorize steps: you log in to each account and grant access. Texting is different, because US carriers require every business that texts through a platform to register first (called A2P 10DLC).
| Channel | To connect it | Works | Ringvance usage cost |
|---|---|---|---|
| Sign in to your email account and authorize it | As soon as it is connected | Email sent from your account: $1.50 per 1,000 emails | |
| Sign in to Facebook and authorize it | As soon as it is connected | None in our usage rates | |
| Sign in to Instagram and authorize it | As soon as it is connected | None in our usage rates | |
| Texts (SMS) | Add a local business number, then complete carrier registration | After carrier approval, usually a few days | Number $2.50 per month; texts $0.015 per segment, sent or received; carrier fees below |
Texting: the part that takes a few days
- Add a local business number ($2.50 per month). Texts are sent and received on that number.
- Start carrier registration on day one. It is a one-time $22.50 for most small businesses, plus a carrier campaign fee of $1.50 to $10.50 per month, set by the carriers. Both are passed through at the carrier's price.
- Wait for approval, which usually takes a few days. Until then, email, Facebook and Instagram already work.
- After approval, texts cost $0.015 per segment, sent or received. A segment is up to 160 plain characters. Picture messages are $0.045 per message sent. Carriers also add small per-message surcharges, passed through at cost.
Keeping the number customers already know
You can keep your current number. Set it to forward calls to your Ringvance number, either every call or only the ones you do not pick up. One honest catch: forwarding moves calls, not texts. Texts sent to your old number keep arriving on that phone, so tell regular customers the number to text, or put it on your website and receipts.
What it costs in a month
If you only connect email, Facebook and Instagram, with no business number, it is $9.00 a month plus email sent from your account at $1.50 per 1,000 emails. With a number and texting, an example month (100 minutes of incoming calls, 50 minutes outgoing, 300 text segments and 200 emails) comes to $22.05 to $31.05, depending on the carrier campaign fee, plus the one-time $22.50 registration in the first month. Those are example volumes worked out from our published rates, not a real customer's bill. The line-by-line math is on the pricing page.
The limits, plainly
- WhatsApp is not included in Ringvance Inbox. If your customers live on WhatsApp, look at a tool that lists it (Bigin Express does, see below).
- Texting is not instant on day one. Carrier registration comes first.
- An inbox is not automation. Inbox does not send automatic replies or follow-ups. Those are in Ringvance Core ($97 a month), along with missed-call text-back and online booking.
Do other CRMs do this?
Many CRMs connect email; fewer put texts and social messages next to it. On their own pricing pages, checked November 2026:
- HubSpot free CRM lists Gmail and Outlook email and a Facebook Messenger integration (send and receive simple messages and quick replies). It does not list texting or Instagram messages on the free or Starter plan.
- Bigin Express ($7 per user per month billed yearly, $9 monthly) lists email and WhatsApp Business. Its Facebook and Instagram entries are lead-ad integrations, which bring in leads from ads rather than messages. Texting is not listed.
- Pipedrive does not list texting, Facebook or Instagram messages on its pricing page.
If your customers reach you almost only by email, you do not need a multi-channel inbox, and a free CRM with email integration is the simpler choice.
